Offsite Document Storage Becoming Popular in Metropolitan Areas

By: Kingston J. Amadan

As business leasing becomes an astronomical expense for companies who maintain a presence in major metropolitan cities across the U.S., the need for additional space has never been more apparent. With office space at a premium, storing documents at the same location where businesses is conducted can be pricey.

Enter document storage providers, who can take those warehouse filling boxes of documentation and store them at a more suitable location. No longer must companies choose between expansion to other or multiple locations as a result of their hard copy assets. Still, document storage alone does little for the issue of accessibility. In fact, for businesses who still rely on hard copy for daily record keeping, it can force them to keep months or even years worth of files on hand at all times.

Thankfully, many document storage providers also provide OCR scanning services to turn hard copy documents into electronic files, which can then be sorted and accessed with unprecedented ease. The process can save businesses thousands of dollars in storage fees provided hard copies are subsequently disposed of properly.

For proper disposal, many storage facilities offer full document destruction, which shreds paper goods in a way that ensures reconstruction of documents is a logical impossibility. The document shreddings are usually recycled immediately to further safeguard sensitive material. Shredding eliminates the cost of monthly storage while protecting businesses from the threat of sensitive or proprietary information leaking out.

For businesses where space is available, document storage isn’t much of an issue. For businesses paying Manhattan or Downtown Los Angeles rents, they can be a lifesaver. Metropolitan landlords are now adopting triple-net leases, which make the businesses who occupy their properties responsible for taxes, insurance and maintenance costs. With the cost of prime space so expensive, expanding to meet storage needs is often an impossibility for small to medium sized companies.

If the last ten years are any indication of the future, the problem of rising rents on increasingly smaller spaces is likely to provide a boon for document storage facilities. With the required space and technology to offer cheaper, more secure storage, it’s no wonder these types of facilities are enjoying more popularity with metropolitan based businesses.
